Assistant to the Director of Student Activities

 ASSISTANT TO THE DIRECTOR OF STUDENT ACTIVITIES

Department: Student Activities.

Reports To: Director of Student Activities.

FLSA Status: Non-Exempt, hourly (20 hours).

Summary Description: To provide administrative support to the Director of Student Activities through consistent, appropriate application of policies and procedures of the University, as well as record keeping, filing, and directory maintenance of all campus clubs and organizations and their respective activities, and assisting with student programming, as needed.

Functional Description:

• Assist the MSAC Facilities Coordinator with scheduling MSAC Operations.
o Communicates equipment reservation needs with MSAC Facilities Coordinator.

• LED Sign:
o Creates content for MSAC LED Sign per requests from C-N departments and student organizations.
o Maintains schedule of content to be displayed on the sign per established guidelines.
o Coordinates with Athletics Department to add game-day content to the sign.

• Student Activities:
o Provides administrative assistance to the Director of Student Activities with programming including organization of supplies, preparation of event material, student mailings, clubs and organization mailings, and assistance to student officers of clubs and organization as needed.
o Assumes position of leadership at campus events, when the Director of Student Activities cannot be present.
o Assists with organization and maintenance of the Clubs and Organizations Directory, as well as files for each club and organization.
o Assists with website and social media updates regarding campus events and organizations.
o Updates Budget excel sheets for six operational budgets.
o Assists with completion of Requests for Purchase and Cash Advances for 80+ events.
o Organizes and files paperwork for campus events and organizations.
o Inputs event approval requests on the Campus Events calendar.
o Proofreads and updates manuals and guidelines for campus events as delegated by the Director of Student Activities.
o Schedules appointments as needed for the Director of Student Activities, if not directly contacted

• Intramural Sports:
o Assists the Director of Recreational Services with the Intramural Sports program.
o Assists in the maintenance and inventorying of intramural sports equipment.

• Recreational Services:
o Assists the Director of Recreational Services with administrative functions related to the management of the department.
o Provides information and assistance with sign-ups for recreational trips.
o Assists with website updates for Recreational Services and MSAC web pages.
o Prepares appropriate forms for any purchases being made for Intramural Sports, Recreational Services, or for the office to be used in the capacity of both Recreational Services and Student Activities.

• Work Study Program Duties:
o Provides and directs office assistants in assigned duties and responsibilities.

Supervisory Responsibilities: Supervision of an average of 3 work study office assistants.

Education: High school graduate.

Experience: 1 to 2 years.

Required Skills: Successful candidate will be highly organized with the ability to file alphanumerically, maintain various calendaring and scheduling, operate various office equipment including a multi-line telephone, multi-functional copier, laser printer and adding machine. Average skill competency of Microsoft Office is required. Must hold valid driver's license and have the ability to travel independently.

Thus, a successful candidate will demonstrate a personable, friendly demeanor and work well with a diverse group of people and personalities. The ability to work when necessary at a moderately fast pace and exercise flexibility are also essential qualities for a successful candidate. Performance review will be conducted annually.
