Administrative Assistant III - Registrar's Office

ADMINISTRATIVE ASSISTANT III - REGISTRAR'S OFFICE

Reports To: University Registrar.

FLSA Status: Non-exempt.

Summary Description: This position provides administrative support to the Registrar and to the university community by performing a variety of administrative tasks including the creation and maintenance of student records.

Functional Description: Responsibilities include: creating section data in the student software system to produce the class schedule; creating new courses in software, processing independent study registrations; posting AP/CLEP/Departmental Exam credit, assigning classrooms for all sections, resolving classroom conflicts; assigning classrooms for other non-academic classroom usage, preparing commencement packet information and mailings, producing no-show report for 1st week of class for each term and session, updating website with current information, assisting students or alumni with various requests, answering phones; assisting students with registration & drop/adds issues; assisting with degree and enrollment verification & transcript requests, attendance verification for the Offices of Financial Aid and Student Accounts, Registrar webpage maintenance and other administrative tasks as assigned.

Supervisory Responsibilities: Supervise Student Assistants.

Education: High school diploma or equivalent.

Experience: At least one year of administrative experience.

Required Skills: Effective oral, written and interpersonal communication skills. Must demonstrate proper business etiquette and business dress. Thorough working knowledge of student software system, computers skills with proven competency working with Microsoft Office products. Utilization of Excel spreadsheets and mail merge is essential.

Physical Demands: Must be able perform computer processing for several hours a day, which is primarily performed while seated, must be mobile to wait and serve students who come to the office for various requests. While performing the duties of this job, the employee is regularly required to move about the office and the administration building. The employee must occasionally lift and/or move up to 15 pounds.
