GENERAL CHARACTER OF DUTIES
Definition
Under the general supervision of the Director, performs all aspects of duties relating to an Administrative Assistant.
Example of Duties
Job tasks include processing agency property insurance rep01ts and data entry of property insurance changes; completing builder's risk process; maintaining builders' risk report spreadsheets; creating prope1ty claim files; maintaining loss prevention/loss control report files; responsible for retrieving workers compensation and tort liability claims data from information systems to provide for risk management staff and state agencies; reviewing and maintaining Fine Arts Loan Agreements; word processing of various reports and correspondence; photocopying and mailing correspondence; verifying the receipt of all agency prope1ty reports; preparing reports for staff review; updating the Treasury Risk Management Prope1ty System (TRMPS); addressing telephone inquiries relative to property insurance, builder's risk projects, and boiler insurance; reviewing and distributing incoming mail; reviewing construction contracts, change orders, and ce1tificates of substantial completion, for initiating or updating builders' risk files; photocopying, printing, or electronically mailing forms as required; sending, receiving and distributing faxes; ordering and maintaining office supplies; and complying with other clerical duties assigned by the Director.
MINIMUM QUALIFICATIONS
Graduation from an accredited two year college with an Associate's Degree in a related field. A Bachelor's degree from an accredited four year college or university is strongly preferred. Experience equivalent to one year of full time administrative assistant or administrative secretarial work. Working knowledge of Microsoft Word, Microsoft Excel, and general data entry. Ability to key accurately at a rate of 40 words per minute. Must possess very good skill sets in proof-reading, communication (oral, written, and listening), and multi-tasking.
Experience in a prope1ty/casualty office environment is a plus.
